(For purposes of this policy, the word photograph shall also mean all images regardless of form)
It shall be the policy of the Ann Arbor Railroad Technical & Historical Association that photographs which are owned by the Association shall be available to the membership for research. The Association shall not sell photographs. The photographs that are copyrighted by others shall also be available for research, but not reproduction except as specified below. Photographs which are not copyrighted shall also be available for the production of articles for internal publications. The Association shall complete an inventory of all photographs and publish that on its website and in its publications, with a notation for those that are copyrighted. Members who wish to access the photographs will be required to explain the purpose and to arrange for scanning the photographs at the site where they are kept.
The Association shall, as a long-term project, scan all photos that the Association owns and make the CD’s containing those scans available to members who wish to research or write for internal publications. Copyrighted photographs shall be on a separate CD and shall be available for research, but not for reproduction. If the Association can create scans of photographs that are of the quality necessary for publications, the original photographs shall be deposited with the Ann Arbor Railroad Archives at Central Michigan University.
Any photograph that the Association owns that is copyrighted by some other person or agency shall only be made available for purposes of reproduction to members who get permission from the copyright owner. Under those circumstances, the procedure shall be the same as for photographs that are not copyrighted.
The definition of copyright for the Association’s purposes is where the picture is stamped with the copyright or with the direction that conveys “do not reproduce.” All other photographs shall be considered not copyrighted.
Photographs which are given to the Association for its exclusive use shall not be included in the publication inventory that is made public, or made available to members for any use.
